Back-Office Processes
Do you have back-office processes being performed by internal staff purely on a computer? These would be ideal to be outsourced, saving your staff time and potentially reducing the need for office space, computers and extra staff.
We can be given (limited) remote access to your case management system, allowing us to use data therein to complete various tasks in the same way as if our team member was sitting at a computer in your office, but saving you the additional overheads and staff time.
Onboarding
The onboarding process can be automated to a great extent; however, there are aspects that benefit from the human factor, especially if your quote or initial letters need to be tailored to the specific scenario the enquiry is about.
This is particularly the case in conveyancing, where you may have a basic service for a flat fee but then have many potential add-ons to that basic fee, all of which need to be identified and added to the initial quote to avoid clients being surprised at a later point in the transaction.
Our experienced team are adept at analysing the content of a welcome call note and amending the documentation as required. With access to your CMS, the quote and the relevant letters can be sent out within 24 hours of the initial contact, promoting a high standard of efficiency to the potential new client.
Form Completion and Submission
Where you have a team of people filling in forms on screen, this is another process that can easily be outsourced. Our team can extract the necessary information from your digital files and fill in the necessary forms accurately and at a low fee per form.
Turnaround Times
We are happy to work with you to agree a turnaround for your particular project based on its requirements. Members of our team work every day – even weekends – so you can often achieve a quicker turnaround than had you got the work done in-house.
Confidentiality
Indraft recognises that its clients' work is often sensitive and confidential, and we always prepare and sign a Confidentiality Agreement in favour of the client. Where we need to log in directly to your case management system, you are in control of what our team can see, and all your data remains on your cloud system, or your server, which we access remotely. IP restrictions can be put in place at your end or we can use one-time password tokens as a form of multi-factor authentication if needed.
If you need to send us files, these can be transferred via our ShareFile tools, which encrypt the files at rest and in transit. Indraft is registered with the Information Commissioner's Office (ICO) and complies with GDPR requirements and guidelines issued by the ICO in relation to keeping clients' information confidential.
There are Confidentiality Agreements in place with all our subcontractors and the actual people who are working on the files. The team are also restricted from carrying their mobile phones whilst on the working floor and must always sign in and out, which maintains the highest level of security and confidentiality for all work.
Technology
We are able to access a case management system via a browser or using a remote desktop solution or a VPN. All these methods are secure and mean that your (and your clients') data remains under your control.
